Building User - Terms & Conditions

User’s Responsibilities:

  • The rooms may only be used by the person/organisation stated on the Building User Form (the User), and used only for the purpose, times and dates agreed.

  • The User must be 18 or over.

  • Where young or vulnerable people are involved – the User is responsible for their safety and wellbeing.

  • Sensitivity to other groups using the Church will be appreciated.

  • The User is responsible for their own health and safety and for the health and safety of their group. The User is required to attend a health & safety briefing for the building. The User must read the emergency instructions located on the hired space wall, know how to activate the fire alarm, and be aware of the location of the emergency exits. The User must have a plan on how to evacuate group members & be able to account for all group members & ensure that their group knows the exit procedures in the event of an emergency. In the event of an emergency, the User will report to the Office Manager (during office hours) at the assembly point.

  • Record any incidents/accidents in the register located in the kitchen and report to the office. A first aid Kit is situated in the kitchen.

  • The User must take reasonable care that his or her acts or omissions do not adversely affect the health and safety of other persons using the building.

  • The User must comply with any reasonable instruction that is given by the church staff to allow the Church to comply with the Health and Safety Act and regulations.

  • The User is responsible for the due care of the property and facilities on-site and notifies staff immediately of any damage or matters of concern. The User may be liable for the cost of repair or replacement, at the discretion of the Church.

  • The User must ensure the rooms are left in a clean & tidy state on departure as agreed with the staff. The User must ensure that all doors and windows are closed before leaving the building. Internal doors should be left closed to reduce the risk of fire spreading. Except for the gas wall heaters, all electrical appliances should be switched off at the wall sockets. The User may be liable for cleaning costs should the area not be left clean after use. We reserve the right to charge a bond to use the facilities, this may be used to cover the cost of cleaning or repairs should the premises not be left in their original condition.

  • The User is also responsible for their possessions on-site, possessions may only be held in the Church building by prior arrangement with staff, providing this does not pose a risk or significant inconvenience.

  • Use of the Church’s equipment is subject to agreement with staff and may incur a charge for hire or for payment of operational staff. The User is responsible for ensuring they hold any licences required to play music or videos.

  • Catering on site is by arrangement with staff only.

  • No alcohol is to be supplied or consumed on the premises or on the associated land.

  • No smoking or vaping or use of any illegal substances is permitted either in the building or on the associated land.

  • Disabled car parks are reserved exclusively for disabled persons at all times.

  • Payment for hire of the premises must be paid prior to the hire or by arrangement. If there are any problems paying in time, please contact the office.

  • For regular group bookings the church reserves the right to review the hire rates on an annual basis.

  • Cancellation of hire: No charge will be made if cancellation is made at least 5 days prior to the hire. Cancellation less than 5 days prior to the hire may incur a cancellation charge at the discretion of the church.

  • Access arrangements to the building will be agreed upon booking.  Access to the premises is by swipe card. A $20 deposit may be requested which will be refunded on the return of the key. The User is responsible for returning the swipe card to the office on completion of the hire.

  • Access to the building will be for the time agreed when your booking is made, please allow set up time and tidy up/cleaning time when you make your booking.

Waikanae Baptist Church Responsibilities:

  • Waikanae Baptist Church will ensure the premises are well maintained, clean, and tidy.

  • The Church accepts no responsibility for injury or loss to person or property arising out of the use of the premises apart from such injury or loss as may be deemed related to the Church’s responsibility to care for and maintain the premises to a safe standard.

  • The Church will maintain Public Liability Insurance and Accident Report Records and comply with all requirements for Health and Safety and Building Safety.

  • The Church reserves the right to cancel or rearrange a booking as deemed necessary for the reasonable and suitable operation of the Church - for example: in the event of a Funeral; emergency repair works; or failure of the User to comply with the above terms.
